The Child and Family Guidance Center provides comprehensive and collaborative outpatient mental health services to children, adolescents and their families throughout the San Fernando and Antelope Valleys.

The Position:

We are seeking a full-time Administrative Specialist – Integrated Healthcare for our Wellness Center site located in North Hills. This position is primarily responsible for ensuring efficient case flow in the Integrated Healthcare Services Program including providing engagement services to all clients at North Hills wellness and to serve as liaison between CFGC and the Integrated Healthcare offices as well as outreach to other possible Integrated Healthcare sites and other medical referral sources.

Job Requirements:

Essential Job Functions:

  • Coordinates the referral and case flow process in collaboration with Integrated Healthcare office personnel and CFGC’s phone screening and intake departments to support enrollment of appropriate referrals.
    1. Supports communication between Integrated Healthcare office staff and CFGC to maintain accurate completion of referrals and to problem-solve any barriers around the referral process.
    2. Assists family in accessing documents required for phone screening (i.e. custody paperwork, medi-cal info).
    3. Responds to Integrated Healthcare staffs’ inquiries regarding status of submitted referrals.
  • Provides strength-based phone engagement activities for clients with attendance issues at all San Fernando Valley sites. Engagement activities include assisting clients, caregivers, and parents in identifying and overcoming barriers to consistent attendance.
  • Schedules first appointments with new clients/families.
  • Meets with outpatient clients and/or caregivers to review Center attendance policy.
  • Sends letters to follow up with cases that are unable to be reached by phone.
  • Covers all reception responsibilities, such as: Answering the main telephone line, taking phone messages as needed, greets, checks in client, directs, and answers visitor’s inquiries.
  • Ensures all pre-admission and intake packets are complete and ready for appointments.
  • Assists clients with paperwork including financial screenings.
  • Processes Authorizations to Release Information in the in-house system, and mails to outside agency as needed.
  • Take Minutes during NHW staff meeting and the Integrated Healthcare monthly meeting.
  • Orders office supplies.
  • Prepares for new clinical staff.

Skills You Need:

  • Bilingual in Spanish and English required.
  • Must be able to establish and maintain relationships with healthcare staff to ensure a professional and collaborative working relationship.
  • Must be able to get along with others in a courteous and respectful manner.
  • Ability to obtain specific information under stressful conditions and make clinical assessments with a limited amount of information.
  • Must be able to maintain confidentiality.
  • Must be a self-starter and able to work independently.
  • Must be able to prioritize, plan work activities and use time effectively.
  • Must have a good attendance record in addition to being punctual by consistently being on time to work, meetings and appointments.

Hours:

  • 8:30 a.m. – 5:30 p.m. Monday-Friday (occasional evenings may be required)
  • 1-hour meal period

Education Required:

  • BA in a related field
