We are excited to announce the role of Administrative Officer to be responsible for administrative and operational management of our offices.

  • Oversee the guest experience and ensure a personal, friendly experience for anyone coming into the office, and maintain complete accessibility in both availability and warmth of character
  • Ensure peak organizational operations and provide preventative measures by identifying issues
  • Oversee office interactions, responding to requests and questions
  • Report office progress to senior management and working with them to improve office operations and procedures

What you’ll do day to day:

  • Maintain office efficiency by maintaining appearance of common areas, organizing procedures, handling correspondence, managing filing systems, organizing mail and overseeing supplies and equipment
  • Provide direct administrative supports as needed, including scheduling appointments, meetings, and maintaining filing system, mailing and shipping packages, and updating contact database and employee list
  • Partner with IT to ensure all computers and technology is up to date with correct systems, implementing new systems when needed
  • Manage/support vendors for office needs and offsite locations
  • Work with grant management and volunteers to update monthly allocation in Quickbase
  • Ensure all operations are carried on in an appropriate, cost-effective way
  • Oversee and maintain office equipment for uninterrupted function, identify and fulfill office supply needs, maintain and manage vendors, and coordinate food delivery as needed
  • Manage all aspects of the office’s space/infrastructure planning (moves, adds, and changes to workstations) and provide answers, resources, and solutions as requested
  • Monitor and record expenses; prepare expense reports & maintain office budget
  • Plan/support company events for the staff or external events as needed, such as fundraising events

Partner with HR to create, implement and maintain policies and procedures as necessary

  • Other ad-hoc projects as assigned

What you’ll bring:

  • Strong written and verbal communication skills to produce reports, assign tasks, accept instructions and handle vendor contracts, among other tasks
  • 2-3 years of experience as an office clerk, administrative assistant, secretary or similar role
  • Excellent time management skills and ability to prioritize work
  • Organization and the ability to multitask to complete a wide variety of tasks
  • Flexibility to help them adjust to new tasks if company or office needs change
  • Strong interpersonal skills to interact positively with all employees and clients
  • Attention to detail to ensure tasks are completed thoroughly and correctly
  • Working knowledge of mail processes, including how to use postage machines
  • Familiarity with Microsoft Office Suite
  • Bookkeeping skills, familiarity with business and financial principles, and experience in budgeting
  • Reliability and discretion

Compensation:

All benefits are 100% company paid for employee, and 80% paid for dependents.
