Administrative Events Assistant

Vaco Los Angeles is seeking an Administrative Assistant with events coordination experience to join a fast-growing and exciting team. Duties include planning, preparing, and executing events while also performing other administrative tasks.

This position is based on-site in central Los Angeles. The opportunity offers a casual work environment, room for growth and many other perks!

Job Responsibilities:

  • Pre-event coordination – communicate with clients, staff, and vendors to determine event details
  • Admin and office duties – organize office operations, manage schedules, process mail, maintain and organize electronic and paper files, etc.
  • Day of event production – oversee event set up and event activities and ensuring all guests and attendees have a positive experience
  • Support the planning, preparing, and execution of events (including pre-event planning and marketing, day-of-event management, processing event gifts, tracking expenses, follow-up stakeholder engagement, and evaluating the success of events)
  • Manage online registration
  • Develop and maintain a filing system
  • Negotiate with vendors to achieve favorable terms
  • Other related duties

Qualifications:

  • Proven experience as an event coordinator is a must
  • Proven track record of organizing successful events
  • Administrative and project management experience is a plus
  • Outstanding organization skills
  • Strong vendor management skills
  • Excellent multi-tasking skills
