Vaco Los Angeles is seeking an Administrative Assistant with events coordination experience to join a fast-growing and exciting team. Duties include planning, preparing, and executing events while also performing other administrative tasks.

Job Responsibilities:
- Pre-event coordination – communicate with clients, staff, and vendors to determine event details
- Admin and office duties – organize office operations, manage schedules, process mail, maintain and organize electronic and paper files, etc.
- Day of event production – oversee event set up and event activities and ensuring all guests and attendees have a positive experience
- Support the planning, preparing, and execution of events (including pre-event planning and marketing, day-of-event management, processing event gifts, tracking expenses, follow-up stakeholder engagement, and evaluating the success of events)
- Manage online registration
- Develop and maintain a filing system
- Negotiate with vendors to achieve favorable terms
- Other related duties
Qualifications:
- Proven experience as an event coordinator is a must
- Proven track record of organizing successful events
- Administrative and project management experience is a plus
- Outstanding organization skills
- Strong vendor management skills
- Excellent multi-tasking skills
