Position Summary:
The Administrative Assistant will provide administrative support to the AEG S.A.F.E. Department (i.e. CSO/Senior VP of Security and others within the Safety and Security Department as needed), while also overseeing all aspects of office operations.
Essential Functions:
- Perform administrative office activities to include but not limited to: answer and direct phone calls, organize and schedule meetings, maintain contact lists, assist in the preparation of regularly scheduled reports, order office supplies, create and maintain filing systems (both electronic and physical), provide general support to visitors, and maintain security materials/supplies inventory by checking stock to determine inventory level and placing orders as needed.
- Create documentation such as audit reports, correspondence to safety and security partners, training modules, etc. to support departmental programs such as safety training sessions (i.e. OSHA-related, workplace hazards, etc.) and security training sessions (i.e. active shooter, risk identification, fire protection, etc.)
- Organize training on departmental programs throughout all AEG-owned or managed properties by scheduling the virtual or in-person meeting rooms and invites, putting together the appropriate distribution list. Facilitate the meeting by distributing presentation materials, setting up the conference room, etc.
- Perform administrative support to the department leadership to include but not limited to booking travel arrangements for CSO/Senior VP of Security and others within the Safety and Security Department as needed, submit and reconcile expense reports, prepare and monitor
- Assist the CSO/Senior VP of Security with overflow safety and security projects assigned to divisions supported by AEG S.A.F.E.
- Coordinate scheduling of quarterly Safety and Security teleconference meetings. These meetings include internal (for just the Safety/Security department), and external groups (e.g. facility points of contact, consultants), as well as, other individuals/groups within AEG. Attend and take accurate minutes during these meetings.
Required Qualifications:
Ability to operate standard office equipment such as photocopiers, scanners, fax machines, voice mail systems and personal computers to complete general office work
Must be highly organized and pay close attention to detail
Maintain a sense of urgency with an ability to meet tight deadlines
Able to maintain the confidentiality of highly sensitive information
Must be a self-starter with the ability to work with minimal supervision and excellent time management skills and ability to multi-task and prioritize work
A verifiable track record of integrity, diligence, and teamwork
Must be able to think creatively and possess good interpersonal relationship skills
Ability to work extended hours and/or weekends to provide support to the Department, events, venues, and projects of related work experience
Strong verbal and written communication skills and ability to interact cooperatively with AEG team members, customers, clients, fans and guests
Strong proficiency with Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, Teams); Adobe; and ability to learn required business systems (i.e. Concur, Greenhouse, Talent Management Portal, PALS, etc.)
Willingly perform other duties as assigned
Bilingual language skills (English and Spanish) preferred
High School Diploma or its equivalency (BA/BS Degree Preferred)
2 4 years work experience
