Administrative Assistant (Quality and Support Services)

Administrative Assistant to Department of Quality and Support Services Reports to: VP of Quality and Support Services General Description: Responsible for assisting in the day to day needs of the Quality and Support Services Department.

Ensures all files and documentation are in order.

Effectively communicates with other departments, units, and staff.

Position Qualifications: Minimum Education: High School Graduate or equivalent work experienceMinimum Field-or-Expertise: Previous secretarial experience required Working knowledge of office equipmentAbility to coordinate numerous assignments, delegate and follow through to completion Responsibilities:
•Create, plan, facilitate meetings; including taking minutes, arranging speakers, and hospitality
•Ensuring timely and accurate completion of preceptor evaluations, scheduling, and assignment
•Assists various staff to submit for reimbursement and works with other departments to ensure timely receipt of invoices, documentation, and payment
•Maintain and procure data for ongoing files on quality and improvement projects
•Responsible for credentialing, arranging orientation, and scheduling training of new hires for the Quality & Support Services Department
•Design and distribute education materials
•Maintain education calendar
•Prepare Education Department for new hire orientation each month
•Coordinates with units and other departments as necessary
•Ensures various online education based platforms are up to date and staff are assigned proper modules
•Provide customer service in-servicing in conjunction with the Education Department
•Maintain BLS scheduling for all staff
•Facilitate record keeping, approval, and resolution of discrepancies for acute payroll
•Tracks and maintains compliance with Quality and Support Services employee yearly medical requirement documentation.

•Efficient function as a mobile employee, able to provide on-site services at multiple units
•Constant standing, walking, bending, lifting, turning.

•Occasional Sitting
•Occasionally carries objects weighing up to 50 lbs.

•Competence with Microsoft Excel, Word, Outlook, PowerPoint
•Careful attention to detail and accuracy of record keeping
