Administrative Assistant II – Operating Room, Santa Monica

Responsibilities

Administrative duties include: 

  • Scheduling surgical cases in CareConnect (EPIC), communicate case information with ANII and Anesthesia Lead
  • Answer all incoming calls in a timely manner (multiple phone lines)
  • Order and maintain inventory record of office supplies (Lawson)
  • Assist UD and ANII with updating and publishing employee schedules and call shifts sheets (Excel, OneStaff scheduling system)
  • Maintain and update department phone directory, employee disaster list, Anesthesiologist and employee phone number for call shifts
  • Submit promptly and keep track of Facility, EVS and ISS service tickets
Qualifications

Minimumof 2 years in healthcare and familiar with medical terminology

Knowledge of Microsoft Office, Outlook e-mail and basic knowledge of PC applications
Knowledge of CareConnect (EPIC), OneStaff scheduling system preferred
Skill in speaking clearly and distinctly using appropriate vocabulary and grammar
Skill in confidentiality establishing and maintaining files.
Knowledge of Operating room procedures and surgical schedules
Working knowledge of medical terminology
Knowledge of CPT and ICD9 codes.
Ability to establish and maintain cooperative working relationships with other employees.
Skills in setting priorities that accurately reflect importance of job responsibility.
Ability to accept shift changes based on the needs of the Department.
Ability to respond to emergency calls; i.e. in case of disaster.
Ability to lift and carry boxes or packages up to 30lbs.
Ability to spend about 85% of the time sitting, walking, stooping, reaching up and down, handling objects, papers, and equipment, carefully and safely.
Ability to recognize when assistance/guidance is needed.
Functions within the scope of responsibility.
Ability to maintain professionalism in regards to personal presentation, behaviors, and communications.
Maintains patient privacy and confidentiality.
Ability to speak, write, and comprehend English.
Skill in appropriately, professionally and courteously interacting with scheduling coordinators, secretaries, surgeons, residents, health team members and patient families.
Skill in organizing material and information in a systematic manner to maximize efficiency and minimize duplication of effort.
Maintains professionalism and tactfulness in applying scheduling protocols; must be flexible in adapting new protocols.
Ability to work in an environment with frequent interruptions and distractions.
