JOB DESCRIPTION:Our location in Hollywood, FL currently has an opportunity for an Administrative Assistant II.PRIMARY JOB FUNCTIONWill support 3 people based in the offices Hollywood (Florida): R Director, HR Director and Controller.

Responsibilities include all administrative functions of the department: answering phones, calendar management, scheduling travel, processing expense reports, meeting/event planning, creating or modifying business documents, managing correspondence, handling teleconference and mobile phone setups, acting as a liaison for remote access issues.CORE JOB RESPONSIBILITIESAssists department with projects, including basic project management, basic research, and drafting communicationsUses and understands Microsoft Office Suite and other business-specific software, including the document management system, matter management system and internal websites and employee performance management systems (as applicable)Uses intermediate to advanced software skills to perform work assignedCoordinates and maintains departmental files, as assigned, in compliance with corporate and government regulationsCoordinates new employee office set-ups and onboardingFollow established coverage and back-up support plans to ensure departmental and divisional support needs are fulfilledMay train/coordinate work for new administrative assistantsResponsible for compliance with applicable Corporate and Divisional Policies and proceduresMINIMUM QUALIFICATIONSHigh School diplomaMin.

5 years of experience in providing administrative support to leaders at the top level of an organization.Proficient in the use of the Microsoft Office Suite products i.e.

Outlook, Word, Excel, as well as Visio, Photoshop, PowerPoint, Project.

Knowledge of graphics arts programs (i.e.: Quark, PageMaker, a plus).Proficient in the use of general office equipment (e.g.
