Working knowledge of Microsoft Excel and Word.
Bachelor’s Degree preferred.

Must have at least one year experience supporting an executive at the Director or VP level.
Experience working in a fast-paced, frenetic production environment preferred.
Must have strong computer proficiency, including knowledge of MS Word, Excel, and Outlook.
Must have ability to learn and adapt to multiple proprietary production support software.
Must have solid communication skills, exceptional organizational skills and be very detail oriented.
Must be diplomatic and be comfortable interacting with employees at all levels of the company.
Interest in production management, logistics, and/or studio operations strongly preferred.
Responsibilities:
• Provide daily communication, basic clerical duties, and general administrative support.
• Insure that pertinent operational information is conveyed within the department and to other departments as necessary.
• Answer heavy telephones, give information and take messages.
• Provide timely operational information to managers and employees.
• Supports VP in various administrative tasks, including answering phones, memo drafting, and calendar maintenance.
• Answers incoming calls to the department, ensuring an efficient customer service experience.
• Acts as a backup to handle incoming Sales calls from prospective commercial, feature and television clients (e.g., describe facilities, provide pricing/cost information) and distributes inquiries to Production Service Reps.
• Leads daily departmental meetings and facilitates the disbursement of key production information.
• Responsible for daily call sheet maintenance, which includes making changes to title pages, updating information from the Production Service Reps, and distributing final corrections to all departments.
• Completes Daily Production Summary and distributes via daily email.
• Coordinates updates to the weekly activities report and USH studio production calendar.
• Compiles lot-wide activities information and organization of the areas including but not limited to: production service representatives, special events, USH operations, catering, amphitheater, screening rooms and marketing.
• Maintains ScheduALL program, including adding additional locations into the system and removing outdated information.
• Maintains Document Management submission and retrieval.
• Schedules office equipment repairs and maintenance.
• Updates information on the shared drive and in Drop Box.
• Thoroughly drafts and distributes Draft Deal Memos and Department Head Memos to all departments.
• Processes payment requests for Production Services Reps for refunds and departmental services.
• Assists Production Service Reps with production drive-ons, scheduling, and customer assistance as needed.
• Orders and maintains office and kitchen supplies for the department.
• All other duties as assigned.
