This position will provide advanced clerical and administrative support and relief of administrative detail to company executives, availing them the additional time for their top management responsibilities.JOB DUTIES: 1.
Support an upper management role(s) in a professional manner.2.
Operate a PC and standard Microsoft software programs at an advanced level.3.
Prepare expense books while following company policies effectively.4.
Coordinate communications by receiving and passing along e-mails, notices, etc.5.
Communicate effective with colleagues at all levels, always representing yourself and the company professionally and in all situations.6.
Prepare/edit presentation materials as needed.7.
Schedule complex meetings, book international and domestic travel, and maintain busy calendars.In addition to the above duties, the incumbent spends a significant amount of time organizing and expediting workflow through the leader’s office.Incumbents must be able to organize, complete and maintain large projects such as a database for a process improvement.
This might also include the direction and coordination of the activities of others such as temporary clerical help, other administrative professionals, etc.Uses discretion, judgment, and initiative to continue the work responsibilities of the office in an efficient manner when the leader is unavailable.
Must determine what can be handled immediately by direct reports, referred to others, held for leader’s return, or completed by the administrative assistant independently.
Works with highly sensitive and confidential information.Must have advanced experience in scheduling and coordinating complex domestic and international travel accommodations.The incumbent must tend to all the details involved with manager’s visits to Caterpillar domestic and overseas facilities and to other companies and unions.
Coordinates visits of corporate customers, coordinates airline travel, prepares expense books and reconciles leader’s expense statement.Coordinates large conferences, special events involving customers, community leaders or business associates and employee and company events.
Responsible for travel and lodging accommodations, arranging plant tours, product demonstrations, meals, etc.BACKGROUND/EXPERIENCE: Candidates for this position must have a variety of administrative experiences (minimum of 5 years’ experience supporting a senior level role).
The position requires the application of seasoned, advanced administrative skills gained through past experiences and challenges in the more advanced and complex features of the activities of an office or work area.
The individual must be able to think and work independently, have superior organizational and communication skills (both verbal and written) and maintain a high-level of confidentiality.Additional Information:Relocation assistance is not available for this position.
