Administrative Assistant

Overview: American Credit Acceptance (ACA) is looking for an administrative assistant for our Forest Park, GA office.

The Administrative Assistant will provide support for the office in variety of different ways from supporting executives and staff, to overseeing vendors while they are onsite.

You’ll also greet visitors to the office and assit the marketing team by supporting events held at the office.

Essential FunctionsReasonable accommodations may be made to enable individuals with disabilities to perform the essential functions listed below.Serves as the primary administrative support personnel to executives, staff and/or departments located at their respective buildingMaintains neat appearance of reception, office, meeting and breakroom areas, ordering office and breakroom supplies from vendors as requestedWelcomes guests meeting visitors and vendors, following ACA’s Physical Security Policies.

Takes visitors to the respective departments for meeting and appointmentsArranges and coordinates meetings in conference rooms located at their respective building, including maintaining the meeting calendars, ensuring that all materials necessary for the meeting are availableManages and maintains schedules, appointments and travel arrangements for executives and staff, as requestedArranges catering orders for department meals/meetings/eventsPrepares and edits drafts of correspondence, communications, presentations and other documents in advance of meetings, disseminating, as requestedDevelops and maintains filing systems, as neededOversee cleaning crew/ individual and serve as liaison with security detail for the office (includes scheduling and payment)Oversee various vendors while onsite, reviewing work performed and submitting invoicesServe as the designated Emergency Response Team member for the Atlanta officeContributes to company programs and initiativesOther tasks as assigned Qualifications3 years of experience in an administrative assistant roleHigh School diplomaMust be proficient in Microsoft Office products, specifically with Excel, Word, and OutlookPositive attitude; high energy; assertiveMust possess a strong ability to prioritizeOutstanding organizational and planning skillsExceptional verbal and written communication skillsExcellent customer service skillsBe a self-starter, able to work independently utilizing good judgment and decision-making skillsGood problem-solving skillsAbility to work under and maintain confidentialityAttentive to detail and accuracyFlexibilityProficient computer skills and strong willingness to learn relevant software Supervisory ResponsibilityThis position has no supervisory responsibilities.

This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Position Type/Expected Hours of WorkThis is a full-time position with a work schedule of Monday-Friday with some schedule variations as needed.
