Office: Center for Leadership, Engagement, and ServiceReports to: Senior Director for Leadership, Engagement, and ServiceHours: Full-timeOvertime: Non-ExemptJob Grade: 5GENERAL SUMMARY: Provides administrative support for the Center for Leadership, Engagement, and Service (CLES)and the Alston Campus Center (ACC) within the guidelines federal, state and local laws and office, division andcollege policies and procedures.
Reports to the Senior Director for CLES and supports the daily operations of theoffice.
Works with students and their families in various events, student workers, staff, faculty and vendors.ESSENTIAL JOB FUNCTIONS1.
Provides administrative support to the Center for Leadership, Engagement, and Service including ordering of officesupplies and inventory, handling of incoming and outgoing mail, greeting of visitors, and meetings.2.
Performs administrative duties for the CLES including, answers telephone calls; handles mail; greets visitors; andschedules appointments, meetings and room reservations.3.
Coordinates the student shuttle service program.4.
Initiates, processes, submits, and maintains records for purchasing cards, requisitions, purchase orders andreimbursements; informs managers of account(s) status; prepares spreadsheets; and identifies cost effectivealternatives.5.
Liaisons with on or off-campus vendors.6.
Serves as content manager for the internet and intranet sites and monitors social media sites related to the Center forStudent Involvement.7.
Assists with the daily operation and needs of the Alston Campus Center in maintaining an effective, efficient, cleanand safe building.8.
Approves flyers and posters to be displayed in the ACC.9.
Serves as the Alston Campus Center building monitor and submits all work orders and provides an equipment andfurniture replacement schedule.10.
Assists with the daily operation and needs of the Alston Campus Center in maintaining an effective, efficient, cleanand safe building.11.
Creates, edits, and updates publications including but not limited to P Card policies, Alston Campus Center postingpolicy, and use of items within the CLES.12.
Supervises work-study students and maintains student work schedules; monitors, verifies, approves and submitsstudent workers’ timesheets according to the College’s timesheet schedule.13.
Assists with daily updates of content within the Division of Student Affairs Calendar of Events.14.
Serves on college committees as assigned.15.
May need to work some evenings and weekends.REQUIREMENTSEducation: BA or BS required.
Knowledge of student life programs and services preferred.Experience: Minimum two years of administrative support experience preferred.
Preference will be given toindividuals who have previously worked in higher education settings.Knowledge/Skills/Abilities:
•Excellent verbal and written communication skills, strong organizational and administrative skills, and closeattention to detail.
•Considerable knowledge of modern office procedures and familiarity with standard office equipment and multi-linetelephone systems.
•Familiarity with office/departmental policies and procedures.
•Proficiency in Google based computer applications: Google Docs, Google Sheets, Google Forms, Google Slides
•Proficiency in Windows-based computer applications: MS Word, Excel, Power Point, and Publisher.
•Familiarity with social media platforms such as Twitter, Snapchat and Instagram.
•Familiarity with Event Management System (EMS).
•Ability to navigate the internet and execute online searches.
•Ability to create and manage social media content.
•Demonstrated ability to work independently and maintain confidentiality.Other:
•May supervise and/or train designated personnel including student workers.
•May occasionally be required to work irregular hours.
•Periodic travel required from office to other locations on and off campus.
•Possess or have ability to obtain a valid Georgia state operator/driver’s license for the type vehicle or equipmentoperated.PHYSICAL DEMANDSIntermittent sitting, standing, stooping, crouching, walking, occasional moving of light objects.
