Administrative Assistant

Position Summary:Primarily responsible for providing all assistance to the Community Manager, Lifestyle Director and residents at an on-site property which includes daily customer service to residents, association committees and board.Position Responsibilities:Perform wide spectrum of administrative duties that are essential to successfully enforce community Covenants, Compliance and Regulations (CC), provides administrative support and other tasks as directed by Lifestyle Director, Assistant Community Manager, and Community Manager.Develops a working relationship with community committees, residents and board.Extend top-notch customer service and problem resolution via phone and face-to-face interaction with residents and contractors.Provide traditional office support by maintaining calendars and appointments, composing correspondence, and creating/maintaining database information.Arrange various meetings (times and locations) and prepare all correspondence necessary to notify included parties.Assemble packets for meetings.Assist with architectural submittals in preparation, review and follow-up in conjunction with residents,committees, and board.Assist with community inspections of common area according to AAM management contract; responsible for generating violation letters as directed by community manager.Assist with daily operations within the community website.Maintains accurate and current association records.Provide assistance with association records scanning and storage.Assist with the Community Maintenance Request Process, and Homeowner Concerns.Operational contact for resale requests, certificate of insurance requests, and executive directive scanning.Assist the Assistant Manager with monitor scheduling.Performs other duties as directed by management staff.Knowledge, Skills, & Abilities:Strong computer software and internet proficiency.Excellent customer service and interpersonal skills: positive written and verbal communication abilities.Ability to handle multiple tasks simultaneously, establish priorities, and meet deadlines.Ability to function efficiently in a high volume, fast-paced environment.Ability to interact and work positively and effectively with staff at all levels.Advanced communication skills (both verbally and written) and the ability to communicate with all levels of management, staff, residents, vendors, Board of Directors, Committees, guests, etc.Ability to work collaboratively and cooperatively within theCommunity as well as withall departments within AAM.Physical Demands & Work EnvironmentSitting in an office setting utilizing a computer and other office equipment.May be required to lift boxes, fill paper trays, and other minor physical tasks.May be required to set up and take down chairs and tables.Walking throughout community as needed for inspections and other property needs as designated.Sitting and standing for moderate periods of time.
