Administrative Assistant

Reports To: Vice President FLSA Status: Non-Exempt Summary: Provides support with the daily activities of an insurance office including filing, telephone coverage, client services by performing the following duties.

Essential Duties and Responsibilities include the following.

Other duties may be assigned.

• Answers and transfers phone calls, screening when necessary.

• Welcomes and directs visitors and clients.

• Maintains filing systems as assigned.

• Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.

• Responds to and resolves administrative inquiries and questions.

• Coordinates and schedules travel, meetings, and appointments for managers.

• Prepares agendas and schedules for meetings.

• Records and distributes minutes or other records for meetings.

• Maintains office supplies and coordinates maintenance of office equipment.

• Prepare outgoing mail and correspondence, including e-mail and faxes.

• Performs other related duties as assigned.

Education/Experience: High school diploma or general education degree (GED) and one month to two years related experience and/or training; or equivalent combination of education and experience.

Licenses: Required within 6 months of employment.

Language Ability: Ability to read and comprehend simple instructions, short correspondence, and memos, to write simple correspondence and to effectively present information to clients and other employees of the organization.

Math Ability: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

Reasoning Ability: Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions and to deal with problems involving a few concrete variables in standardized situations.

Computer Skills:To perform this job successfully, an individual should have knowledge of word processing, spreadsheet, and Internet software.

Supervisory Responsibilities: This job has no supervisory responsibilities.
