Administrative Assistant

Pacific States Insulation and Acoustic Contracting Inc. is hiring for a full time/part time position The Administrative Assistant is the face of Psiacon. This individual will generally ensure the smooth-running of the office, working both on a one-to-one basis with the executives, but also on a wider basis with internal and external clients. The Administrative Assistant will play a major role in mostly managing business related tasks for the team such as creating reports, organizing travel and accommodation, taking minutes, and other organizational tasks.

You will:

  • Maintain operations by following policies and procedures; reporting needed changes.
  • Contribute to team effort by accomplishing related results as needed.
  • Obtain revenue by recording and updating financial information; recording and collecting customer charges; controlling credit extended to clients; filing, collecting, and expediting third-party claims.
  • Welcome patients and visitors, in person, or on the telephone, and answering or referring inquiries.

Job Requirements:

  • Contribute to team effort by accomplishing related results as needed.
  • Assist with general office administrative tasks
  • Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
  • Makes travel arrangements for senior staff such as booking flights, cars, and hotel or restaurant reservations.
  • Provides administrative support to ensure efficient operation of office.
  • Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
  • Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
