Administrative Assistant

Responsibilities:
Maintain database of client contacts, track changes, additions, and deletions Coordinate various mailings to clients on a quarterly, annual, and periodic basis; knowledge of mail merge program required Completing and keeping track of invoices Booking travel for team members and tracking/completing expense reports Maintain complete client files for all information sent to clients Type, format, and coordinate client presentations; a familiarity with PowerPoint preferred Manage calendars for various team members Prepare correspondence based on general or specific instructions and data provided by team members Organize meeting schedules, travel arrangements, and prepare expense reports using online system Provide proactive customer service to clients with a positive and professional attitude Provide administrative support on special projects

Skills/Experience Required:
1-2 years of experience, combination of experience will be considered Proficiency in a variety of computer software applications including Microsoft Word and Excel Strong attention to detail and problem-solving skills are a must Efficient organizational skills and both written and verbal communication skills Reliable, diligent, and hardworking is a must Must be able to multitask and prioritize effectively Strong client service commitment, including appropriate telephone etiquette and management of confidential business matters, is required Work both independently and cooperatively as a team Ability to manage time effectively Ability to manage multiple deadlines and priorities Ability to manage heavy travel and expense related reports
