Administrative Assistant

Seeking an Administrative Assistant to provide administrative support to a quick pace office environment. Supports managers and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and in a timely manner.

Job Responsibilities

• Answer and Direct All Incoming calls – 4 line system

• Take in and track daily leads through database system

• Prepare, Distribute and Track General Contractor Bid Invitations & Submissions

• Enter New Projects in Quick Books and prepare file folders

• Assist Project Managers with client correspondence

• Customer Service – over phone and in office

• Create, Organize, Manage filing systems both online and hard copies

• Accounts Receivable – Prepare, enter and monitor invoices in Quick Books

• Carry out administrative duties such as filing, typing, copying, binding, scanning etc.

• Conduct research using internet and other resources in order to accommodate specific project needs.

• Handle sensitive information in a confidential manner
