Administrative Assistant

Description KEY OBJECTIVE:The Administrative Assistant for Chubb Financial Lines will need to provide administrative and office support for the department and assist in the preparation and editing of key deliverables.MAJOR DUTIES & RESPONSIBILITIESMaintain Schedules on a daily basis for Executive Vice President, Senior Vice President and Vice President.

Travel Arrangements for Executive Vice President, Senior Vice President, Vice President, and the remainder of their staff.

Keep up with travel approval policies and new booking software.(Amtrak Reservations, Flight Reservations; Domestic and International, Hotel Bookings, Car Rentals, Car Service, etc.

)Input Travel Expense Reports for EVP, SVP, VP and the remainder of their staff into PeopleSoft FinancialArrange Meetings and Conference Calls internally and externally.Presentations are created as needed for Broker/Client meetings, Training sessions, Annual meetings and other various meetings.

Monitor and report on expenses on a monthly basis and research charges that look out of the ordinaryKeep current on HR online tools/Onboarding to assist department as neededTrack Paid Time Off days Maintain Organization charts in Visio and/or PowerPointOther duties as assigned Qualifications QualificationsMINIMUM QUALIFICATIONS3 to 5 years of administrative experience preferred.High school degree; College degree preferred.Proficient in the use of Microsoft Word, Excel, Power Point and Outlook (Visio helpful for Org Charts).Strong written and verbal communication skillsExcellent interpersonal skills and telephone etiquetteAbility to be flexible, multi-task and prioritize deadlinesStrong organizational skills and proven ability to work independentlyAbility to identify priorities and manage time efficientlyExcellent attention to detail and ability to perceive and deal with sensitive issues and maintain confidentiality EEO Statement At Chubb, we are committed to equal employment opportunity and compliance with all laws and regulations pertaining to it.
