Administrative Assistant

The Administrative Assistant performs various administrative duties as well as serves as a liaison between the Branch Manager and Corporate Office. Must be highly motivated and understand the critical value of being trustworthy.

Roles and Responsibilities:

  • Obtain required information to accurately process field tickets
  • Enter paper tickets to be invoiced
  • Invoice inspection field tickets
  • Work closely with team members to get prompt resolution to disputes
  • Strictly adhere to month end deadlines for AR processing
  • Provide monthly accrual information for things not processed
  • Provide customer inspection books as required by field supervisors
  • Update customer required databases
  • Accurately maintain electronic files so they remain updated and easily accessible
  • Answer the phone to take messages or redirect calls to appropriate colleagues
  • Submit personnel expense reports
  • Sort and distribute incoming mail and prepare outgoing mail (envelopes, packages, etc.)
  • Utilize office appliances such as photocopier, printers etc. and computers for word processing, spreadsheet creation etc.
  • Assist in various tasks as requested by team members and management.
