Job description Sales assistant (to potentially grow into Account Manager)
Reporting to VP of Sales.
Sample requests and web orders
- Receive, organize and qualify all samples requests received through email, web, and internal inquiries.
- Manage sample log from received – sent – customer follow-up.
- Export FedEx Shipment Manager data into the master excel file.
- Manually enter data from sample sheets into the master excel file.
- Print sample pick sheets and report to Accounts Receivable of the movement of inventory.
- Work with sample room personnel to pick orders and ship via FedEx. Prioritize by urgency and date of submission.
- Inform brokers and customers of tracking info and order status.
- Create pick sheet of what samples are needed in order to supply sample room.
- Back-up to marketing assistant for web orders
Sales admin activities
- Manage internal sales calendar, weekly team meetings, and take notes Support sales managers with expense reports, travel booking, paperwork, presentations, samples, tracking
- Provide quick look-ups of sales and inventory information. Update inbound container logs and vessels.
- Support Sales in broker, distributors, and customer communication as needed, incl new opportunities.
- Participate in planning and execution of all sales activities / promotions
- Assist in planning and executing quarterly partner meetings
- Coordinate and support sales in local and national trade shows
- Contribute to external and internal newsletters (4-5 per year)
- Support Customer Service with miscellaneous items, customer and purchase order questions, and handle returns and quality issues. Internal face and voice of sales to all interoffice departments.
- Fill out distributor vendor packets, FSE net, credit applications for new customers, provide insurance documents, purchase orders for accounting etc.
- Manage internal revenue projector
- Coordinating Orders with Logistics
- Upcoming Vessel (visibility of incoming containers, tracking)
- Internal face/ voice of sales to all interoffice departments
Qualifications
Previous experience in an administrative role
Proficiency in various systems
