Bel Air Investment Advisors LLC employs over 50 individuals including financial analysts, investment advisors, research professionals, portfolio managers, fixed income and equity traders, and administrative support.

The company is looking to add an Executive Assistant to help the team grow.

The Role What you will do This role will provide executive support a high performing advisor team.

Duties require strong organizational skills, communication skills (both written and verbal) and the ability to work quickly, proactively and positively with employees at all levels in the company.

Being able to fully embrace the company’s vision and culture are vital to success.

* Manage client meetings to include scheduling, attendance during engagements and assurance of execution for follow up action items* Track expenses and file expense reports* Coordinate business travel with full accommodations* Monitor and organize email correspondence* Work with IT support to solve complex issues when needed* Manage calendars to ensure adequate planning* Transcribe written documents to electronic formats; manage filing* Prepare agendas and offsite meetings for Hightower Advisor Council* Work with the Bel Air team to support administrative needs of Bel Air Advisors* May need to coordinate some personal matters as needed* Coordinate medical and dental appointments* Schedule and manage appointments and projects for all personal and business interests* Manage/complete personal errands as requested* Coordinate with tax, legal and professional advisors as necessary* Coordination and execution of holiday gifts, cards, etc.

What you need * Bachelor’s degree or equivalent experience* Experience in an administrative or similar role* Travel experience required (Private and Commercial air, hotel, car, drivers, etc.)* Strong attention to detail but able to see big picture* Flexible schedule and availability outside of normal work hours* Superior interpersonal skills to handle sensitive and confidential situations* Demonstrated ability to juggle multiple competing tasks and demands* Reliable, dependable, trustworthy and discreet* Ability to take initiative and execute the tasks that need to be completed* Tech-savvy and comfortable using multiple online tools* Professional, composed and diplomatic, especially amidst challenging or stressful engagements Ideal Candidate We are looking for someone who is smart, reliable, flexible, self-sufficient and is willing to be accountable for running the daily functions of a busy executive, professionally and personally, as well as working with a team.
