Summary of the Role:?

This position reports directly to the Assistant Controller and is a member of Accounting Services.

Accounting Services is under the Division of Administrative Services which reports to the Vice President of Administration.?

This position performs a wide variety of duties requiring considerable organization, judgment, initiative, and independence.

Incumbents in this classification provide technical assistance and work direction to other employees, devise new methods, modify and document established procedures based on precedent and university policies and develop new procedures as necessary; work with subject matter requiring technical expertise; and resolve difficult and unusual problems.?

What You Will Be Doing:?

Serve as a Customer Service Liaison with students, parents, various campus departments (such as Technology Services, Payroll Services, Enrollment Services, Continuing Global Education, etc.), external agencies and businesses, and all areas within Accounting Services while maintaining positive working relationships.

Organize and perform staff, student assistant and departmental training with current information and develop all training materials.

Customer service functional areas include bulldog ID card, cashiering, and receptionist area.

Use independent judgment and initiative in organizing and determining the priorities of the department to ensure assigned job duties are completed timely and efficiently.

Respond to customer in-person inquiries, phone calls and emails regarding their account (billing, payment, refund, BankMobile, 1098-T, direct deposit, ID card) and other related inquiries and /or direct them to the appropriate resource.

Troubleshoot system generated issues independently and work with vendors to resolve them efficiently and expediently.

Organize and develop procedures and/or recommend procedural changes and create/update forms, reports, and comprehensive business process guides.

Organize and monitor daily and year-end files to meet audit standards and requirements.

Review documents and processes for accuracy, completeness, validity, and adherence to standards.

Create and set up system codes, e-Markets, work assignments, work schedules, and statistical reports.

Create and update Microsoft Excel spread sheets and Microsoft Word documents, which may require advance knowledge in the use of these software applications.

Monitor, verify and approve staff/student assistant attendance and/or payroll activity.

Greet customers, answer phones, assist with resolving customer complaints, diffuse upset customers and create reports for improvement.

Coordinate and monitor the ACD phone system and department listserv to ensure all calls and emails are answered accurately and timely.

Coordinate and maintain student communication plans (website, catalog content, office closures, emails, text messages, create standard email and phone responses to common questions, etc.).

Coordinate office purchasing and maintain and organize an adequate supplies inventory.

Coordinate equipment maintenance and repairs.

Coordinate and organize files and document scanning.

Assist with performing various accounting and/or cashiering transactions.

Maintain strict confidentiality of all information.

Maintain strict confidentiality of all information.

Comprehensive knowledge of financial record-keeping, mathematical and general office methods, procedures, and practices.

Basic knowledge of Generally Accepted Accounting Principles (GAAP).

Proficient in the use of Microsoft Word, Excel, PC internet and email.

Any combination of education and experience which provides the required knowledge and abilities.

Equivalent to four years of progressively responsible financial record-keeping experience which has provided the above knowledge and abilities.

Proficient in the use of Microsoft Word, Excel, PC internet and email.
