Position Description:
UCLA Events & Transportation (E&T) supports the UCLA community by providing safe and efficient access and mobility in an environmentally responsible manner.

The organization’s primary responsibility is to ensure faculty, staff, students, patients, and visitors are able to access and navigate the campus, as well as to facilitate the use of campus facilities for events and film shoots.

UCLA E&T is guided by a commitment of service to the UCLA community, and is driven by the values of respect, accountability, integrity, service, and excellence.

The operating units include auxiliary enterprises, service enterprises, state-funded and central services, each with a unique funding model.

The organization is comprised of over 400 employees, generating $74.3M in revenue, with $55.9M in operating expense, $6.4M in working capital debt and $5.2M in major maintenance expense each year.

All business units within E&T work together to develop innovative customer service solutions and technologies to deliver a seamless customer experience.

Under minimal supervision of the Budget & Finance Manager, The E&T Accounting Manager provides high-level analytical, technical and operational support to the E&T Executive Director and the rest of the senior management team with regards to the overall accounting and financial management operation, across all the varied E&T business units, ensuring high quality customer service and implementation of best internal business processes.

Incumbent has overall responsibility for the day-to-day management of all accounting functions in support of the E&T operating units, and actively participates in and promotes strategic business process improvement efforts.

Incumbent has primary responsibility for analyzing work processes, and developing and implementing policies and procedures for billing, cash handling, purchasing and payables functions, which fully comply with University policy and GAAP, and result in effective and efficient use of departmental resources.

E&T uses performance metrics to measure operational performance, and the incumbent is responsible for tracking and reporting on the performance of the Accounting unit.

Incumbent is responsible for hiring, training, evaluation, counseling and day-to-day supervision of Accounting staff.

The incumbent is responsible for activities related to accounts receivable, reconciliation and reporting of cash/cash equivalents from multiple sources, payroll deduction processing and reconciliation; recharge billing; event and film billing and reconciliation, refund processing, purchasing (including consultative support of RFP and RFQ activities), accounts payable processing and reconciliation, revenue and expense ledger reconciliation, calculation and reporting of monthly and annual accruals/deferrals, and overall divisional support services.

Research and/or interpret policy, recommend course of action, and consult with the E&T Budget & Finance Manager, Audit & Advisory Services, Corporate Finance and/or other campus entities to ensure adherence to and compliance with University policies and procedures.

Mentor and coach E&T managers and supervisors regarding University, organizational and departmental policies and procedures to ensure compliance throughout the entire E&T organization.
