Administrative Assistant

Overview: This position is responsible to work with all levels within the organization to ensure proper and efficient daily office & field operations and will work as a multi-faceted administrative assistant for Admiral Security Services Mid-Atlantic North Division, primarily supporting the recruitment, onboarding, and licensing processes.

Responsibilities: Maintains branch personnel files, ensuring compliance with related local, state, and federal regulations and confidentiality.Processing new hire (explain packets, check for completion, issue uniforms).Review applicant’s applications for completion; score assessments.Answers incoming calls, transferring calls to the appropriate party.Serves as the companys branch office receptionist.first-line ambassador of all visitors and staff.Personally, handling questions, problems, or requests.Directing the visitor or staff to the appropriate party.Coordinating daily mailensuring outgoing mail is posted.ensuring incoming mail is channeled to the appropriate party.maintenance of the postage meter (not service related).receive FedEx and UPS shipments.

Ensuring ample availability of stock forms, making additional copies as supplies run low or ordering same from outsourced vendors.Assists with ordering new hire pre-employment substance abuse and background screenings.Ensures normal supplies of office supplies are available, requesting replenishments when necessary, from Branch Manager.Ordering any catering for meetings, (on site or off site).Ordering security shields and name Ordering, sizing, issuing, and inventory of uniCollecting returned uniforms.Separate and distribute uniform orders.Ordering security shields and name Separate and distribute uniform orders.Assisting the Office Staff as requested.Assist with organization and filing of personnel and client files.Maintain confidentiality of all company information and data.Capable of effectively functioning with minimal supervision.Perform any other duties as required or directed by Company management.

Qualifications: High School Diploma, College degree preferred.3 years of HR recruitment experience in security recruiting preferred.

Security recruitment will be considered in lieu of years of experience.Must be very organized with superior attention to detail.Must have a good working knowledge of MS Excel, MS Outlook, MS PowerPoint, MS Word.Must have experience working in a fast paced, changing environment.Must be flexible and willing to work weekends and some evenings as needed.Must have excellent customer service skills.
