Document Control Specialist

Ramos CS is actively hiring a Document Control Specialist who has experience indexing, linking, and distribution of documents in required software. This includes internal to the Owner and external to project participants distribution of correspondence, technical submittals, project reports, Requests for Information, and contract plans and specifications. The ability to prepare transmittals; distribute documents using Unifier, Prolog, or Documentum to retrieve documents through software is a must. The Document Control Specialist must be highly organized and detail oriented. Must be a proactive, self-starter with a results-oriented focus, must be sensitive to time deadlines and ensure that work is accomplished in the time frames required and must be flexible and able to readily adapt to changing priorities.

Job Requirements:

Responsibilities include and are not limited to:

  • Assist the Project Manager, the Construction Manager, and the Project Team in all matters relative to project documents and the control and distribution of documents in Manager Software.
  • Process project documents and maintain document control files in accordance with project document control procedures
  • Responsibilities include establish and maintain files, receive, index and scan into Manager  Software. Types of project documents include correspondence, field memos, submittals, pay requests, drawing log, safety notices, RFIs, and photos
  • The control, scanning, indexing, linking and distribution of documents in System. This includes internal to the Owner and external to project participants distribution of correspondence, technical submittals, project reports, Requests for Information, and contract plans and specifications

 Required Qualifications:

  • Bachelor’s degree in Business Administration preferred
  • 5-10 years of professional experience in document control required
  • Document control experience (document processing and data management) in Engineering Transportation or Transit is required
  • Previous experience in a Construction environment is highly desirable
  • Demonstrated experience and proficiency in Microsoft Office Suite and Adobe Acrobat Professional applications is required
  • Demonstrated experience and proficiency utilizing large-scale Document Control Software, such as Unifier,  Prolog, or Documentum, required
  • Demonstrated experience with routine Document Control hardware and software, such as scanners, optical character recognition
  • Must be a self-starter with proactive, results-oriented focus; and willing and capable to assume additional responsibilities
  • Must be detail-oriented, and exceptionally organized, with proven accuracy, reliability and completeness in job accomplishments
  • Demonstrated success on the job, as evidenced by satisfactory performance, acceptance of responsibility and growth in previous positions
  • Effective oral and written communication skills
  • Must be opened to learning and utilizing established protocols, procedures and systems; able to take direction, provide feedback, ask and escalate issues, conflicts, and ask questions as necessary and appropriate
  • Must be able to interface with a variety of people with different technical levels and educational backgrounds; must be detail-oriented and highly organized and must be able to produce accurate and timely results while maintaining a customer-service attitude
  • Must possess a can-do attitude: able to produce consistently accurate results at a fast pace
