Title: Fleet & Facility Coordinator

Location: Culver City, CA

Reports to: Deputy General Manager

Bicycle Transit Systems (Bike Transit) was established in 2013 and currently operates bike share systems in Philadelphia, Los Angeles, and Las Vegas. The Fleet and Facility?Coordinator ensures the safety, reliability, maintenance and longevity of vehicles and warehouses. They will be responsible for quickly and efficiently resolving safety issues within all BTS warehouses, ensuring repair and contractor work is done quickly and in compliance with building and ADA codes. Maintenance of the warehouses includes, but is not limited to, ordering facility and office supplies, managing receiving of ingoing/outgoing mail and packages. In addition, they serve as a lead on the Safety Committee.

Core Responsibilities:

  • Fleet: Work with site operations leadership team to quickly resolve vehicle issues that impair or prevent the use of these resources for Operations. Communicate status of vehicles with site operations leadership team. Work with Field Tech Supervisor to ensure monthly vehicle inspections and vehicle cleanings are completed. Vehicle research when needed for the purchase of new vehicles.
  • Facilities: Responsible for all repairs of the facility. Work closely with Operations and GM’s o manage larger projects for the facility. Manage receiving. Order facility, office, kitchen, pantry and cleaning supplies and equipment for the facility operating within a set budget. Act as a liaison with the property manager of the facility.
  • Safety: Serve as a lead on the Safety Committee. Work with co-leads to collaborate on SOP’s and trainings to train department Safety Representatives so they can conduct safety trainings for their respective teams.
  • Open, close and respond to tickets submitted for any fleet, facilities, or safety issues via Fiix or SharePoint. Perform regular assessments of ticket system; ensures ticket queue is cleared in a timely manner.
  • Manage and delegate fleet, facilities, and Safety related projects and tasks when appropriate.

Additional Responsibilities:

  • Perform ongoing safety trainings for local department Safety Representatives to train teams (train the trainer).Perform team trainings as needed.
  • Monitor and schedule regular maintenance and management of fleet vehicles with Operations; complete title and registration services at local DMV location on behalf of Bike Transit.
  • Manage the Fleet & Facilities budget appropriately including timely submittal of invoices and expense reports.
  • Assist site Operations team with taking vehicles in for service and repairs.
  • Assist Operations team with ordering supplies when necessary.
  • Manage, maintain and establish relationships with vehicle service providers to maintain the highest quality outcomes for services performed on client vehicles (auto detail, vehicle preventative maintenance, body repair, and windshield repair).
  • Assist?with movement of equipment, vehicles, and bikes from different warehouse locations.
  • Maintain safe warehouse spaces by delineating walkways, ensuring equipment is well labeled and grouped together, that teams maintain their areas cleanly and safely, and that the warehouses are generally organized and neat. Provide feedback to Operations Manager and/or Team Leads accordingly.
  • Give and receive feedback to effect improvements.
  • Follow?and maintain internal operational standard operating procedures (SOP’s).
  • Serve as a Safety Committee lead. Ensure facility is upgraded as needed for safety considerations.
  • Oversee?contractor work when applicable for office and warehouse upgrades and repairs.
  • Ensure all facilities are a safe, enjoyable places to work.
  • Execute emergency contingency plans (i.e. system outage, vehicle incident) when necessary; follow all SOP’s and plans accurately.
  • Ensure the safety equipment at each location and in each van is in good repair, not expired, and properly located. Such items include first aid kits, fire extinguishers, defibrillators, earthquake kits, blackout kits, ear protection, and signs.
  • Make small facilities repairs.
  • Provide support to site operations team or small repairs and routine maintenance of vehicles.
  • Operate forklift when needed to safely transport equipment. Source and operate scissor lift as needed.
  • Assist with bike and bike station deployment and redeployment, when necessary.
  • Other duties as assigned.

Daily Responsibilities:

  • Check for new maintenance tickets.
  • Warehouse safety, ADA, and building code “spot checks”.
  • Ensure that building opening and closing procedures are being conducted correctly by conducting daily audits.

Weekly Responsibilities:

  • Weekly check in with site operations leadership team.
  • Weekly check in with Deputy General Manager.
  • Weekly check in with Avengers (facilities working group).
  • Submit expense reports.

Monthly Responsibilities:

  • Co-lead monthly Safety Committee Meeting, provide meeting notes and update to Central Safety Spokes Committee
  • Ensure monthly inspection for each vehicle in the fleet is being completed by Field Tech team.
  • Monthly safety walkthrough for each warehouse.

Annual Responsibilities:

  • Renew vehicle registration and insurance.
  • Prepare for annual fire inspection.
  • Review and renew annual maintenance contracts.
  • Assist in preparing and participating in annual facility evacuation drill.

Education and/or Work Experience Requirements:

  • Valid driver license and clean driving record that passes insurance requirements for the company.
  • Forklift certification required to do the job; must be able to attain forklift certification.
  • Strong mechanical aptitude, with related professional experience.
  • Proficiency with computers and the ability to learn new software.
  • Strong affinity for safety in everyday work. Familiarity with or willingness to learn with OSHA, state, county, or city regulations.
  • Must be a self-started who takes initiative and is open to coaching to and feedback
  • Highly organized
  • Must be a team player with a positive attitude.
  • Strong Communication and interpersonal skills.
  • Ability to adapt to changes in the work environment, manages competing demands and is able to deal with frequent change, delays or unexpected events.
  • Excitement and interest in bike sharing.
  • Must be available to work some evenings, weekends.

Physical Requirements and Special Demands:

  • Frequently bend, stoop, and twist throughout the day
  • Requires the ability to regularly lift objects up to 50+ lbs and carry objects of this weight for distances up to 150 feet
  • Requires the ability to perform work while standing for prolonged periods of time.
  • Repetitive motion required of the writs, hands, or fingers occasionally throughout the workday.
  • May require working and riding a bicycle outdoors in various temperatures including rain, cold and heat conditions.
  • Comfortable occasionally driving, stopping and working in busy outdoor urban environments.
  • Ability to maintain regular, punctual attendance in accordance with company and department policy.
  • This position may require hours that exceed 8 hours per day and/or 40 hours per week.
