Payroll Specialist

Serves as local Payroll Specialist responsible for the administrative functions and effective processing of payroll for certain entities within the organization and acts as first point of contact for payroll inquiries.

Maintains and manages transactional process and execution related to the payroll process including employee changes, taxes, timecards, data entry, off-cycle processing, balancing, auditing, and overall record keeping.

Individual must possess strong attention to detail, time management, and organization skills as well as a passion for driving operational and process excellence.

Responsibilities
· Maintains payroll information by collecting, calculating, and entering data.

· Updates payroll records by entering changes in exemptions, insurance coverage, savings deductions, and job title and department/division transfers.

· Prepares reports by compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages.

· Determines payroll liabilities by calculating employee federal and state income and social security taxes and employer’s social security, unemployment, and workers compensation payments.

· Resolves payroll discrepancies by collecting and analyzing information.

· Provides payroll information by answering questions and requests.

· Maintains payroll operations by following policies and procedures; reporting needed changes.

· Maintains employee confidence and protects payroll operations by keeping information confidential.

· Contributes to team effort by accomplishing related results as needed.

· Responds to and assists with all internal and external related inquiries or requests and brings resolution to inquiries.

· Responsible for accurate preparation, data entry and documentation in the payroll system.

· Ensures accurate calculation of wages, tax withholdings, and company deductions and ensures payroll records are updated.

· Maintain records on paid time-off, leave, and other pertinent dates.

· Responsible for balancing payroll runs, producing federal, state, and local tax payments.

· Prepares statistical reports on employee pay, commissions and bonuses, vacation, sick time, disability and workers compensation leave, and taxes/withholdings, etc., and reports on any matters of interest.

· Reviews the computation of pay and ensures the company payroll policies are in accordance with the government regulations and ensures proper governmental reporting and compliance.

· Oversees the distribution of paychecks or arranges direct deposit programs.

· Accountable to both finance and human resource departments.

· Identifies discrepancies, risks, and other problems, then reports findings to management; recommends appropriate corrective measures.

· Enhances department and organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.

· Assists in other work areas and perform all other related duties or projects, as needed and directed.

Job Requirements, Knowledge, Skills and Abilities
· Minimum of 4 years of payroll experience preferably in construction or Oil & Gas industry
· High School Diploma or equivalent
· Prior experience with full payroll processing, including tax filings, (not outsourced), experience with Vista (previously Viewpoint) is preferred
· Actively maintains knowledge of acceptable payroll practices and procedures.

· Organized, detail-oriented, able to multi-task, and prioritize multiple projects/tasks in order to adhere to deadlines
· Ability to communicate professionally and effectively with a high level of discretion
· Self-directed, resourceful, and ability to problem solve with effective and timely follow through
· Follows policies and procedures; Completes administrative tasks correctly and on time;
· Supports organization’s goals and values.

· Willingness to ask for assistance and communicate when there is a concern, questions, or issues
· Demonstrates accuracy and thoroughness; Looks for ways to improve and promote quality
· Applies feedback to improve performance; Monitors own work to ensure quality.

· Ability to use various computer systems, including Microsoft Office, with high levels of proficiency
· Ability to handle sensitive employee information in a confidential manner.
