Executive Assistant

Our tools empower indie musicians and their teams to distribute music, collect royalties from streaming platforms, pay their collaborators, and take out advances on their future earnings.
As the Executive Assistant at Stem, you will support the 5-person executive team that drives the vision and roadmap of Stem, helping to build the new financial backbone of the music industry.

You’ll schedule and coordinate meetings, events, and staff travel, and you’ll also help plan and execute company events that help keep us connected while we’re working remotely.

You’ll help ensure important relationships with clients & investors are prioritized properly.

Beyond administrative work, your time at Stem will give you experience with people operations, artist/investor relations, and entrepreneurship.
This role is full-time (PST) and based in Los Angeles.

What you’ll do: Calendar management: Scheduling meetings Coordinating meetings & events Communication: Bridge internal & external teams Prioritize investor/board relations Monitor and assist with communication from key clients Maintain credibility, confidentiality, trust and support Documents: Assist with management reports, presentations and documents using Google Docs, Sheets and Slides Take meeting notes Create & circulate agendas Update shared documents Travel & entertainment: Process expenses Manage domestic and international travel arrangements Develop travel itineraries and modify them in real time Company events: Ideate, plan, and execute company bonding events like picnics and holiday parties Survey team on food & beverage preferences Manage guest lists and support events with clients/leads IT/equipment: Light IT support and equipment management for the company, including picking up laptops with issues and taking them to Apple for repairs, issuing loaner computers, and tracking all equipment Purchase hardware/software/other items as needed for staff
Our Ideal Candidate has:
Superlative written & verbal communication skills A deep comfort with Google Workspace (Gmail, Calendar, Google Hangouts) and other key productivity tools (Slack, Zoom, Notion) At least 2-4 years in administration, account management, or production management, with a preference for startup experience Exceptional organizational skills with the ability to take initiative, manage a changing schedule and manage competing priorities without losing anything in the shuffle A deeper understanding and interest in the music industry as well as all things tech and digital Comfort with IT management (you can Google & instruct an employee on how to reset their SMS) Advanced proficiency with Microsoft Excel A collaborative and team-oriented spirit A rigorous attention to detail A tendency to include others A passion for helping creators build thriving businesses while retaining ownership of their creative work
