Clinical Client Scheduler

The department plays a key role in USC’s healthcare system by developing and teaching best practices and serving the diverse and often underserved patients and communities of Los Angeles through interdisciplinary and inter-professional collaboration, teamwork and shared models of excellence in care.We are seeking a Clinical Client Scheduler and Insurance Verifier whose job responsibilities include the following, but are not limited to:* Schedules high volume client appointments according to availability of space, availability of medial personnel, provider availability, equipment needs, etc. Maintains daily, weekly and monthly client appointments. Communicates schedules to students, faculty , staff, or other medical facilities, as appropriate. Provides a high level of customer service for all clients.* Receives and screens client telephone calls or visits. Takes messages and provides information to clients or customers. Registers client according to established protocol. Confirms client’s identification and demographic information. Maintains client accounts and refers to business office as necessary.* Reviews schedule on a regular basis and communicates any changes, such as no shows, time constraints, conflicts and other scheduling difficulties to appropriate personnel.* Prepares and distributes monthly scheduling reports to internal clients and management as a signed. Maintains electronic files, databases and records used to prepare master scheduling template documents. Prepares reports and correspondence a needed.* Performs clerical duties, such as data entry, filing, faxing, photocopying, distributing mail, and/or performs other incidental department tasks, as assigned. Covers other areas as needed.* Verification of insurance eligibility and mental health benefits. Must be able to simply and clearly explain the benefits to the patient.* Obtain authorizations for the specialty services (Neuropsych testing, ECT, TMS, VNS, Ketamine infusion and genetic testing) if needed.* Responsible for validating insurance information /verification/authorization to ensure financial clearance of patient accounts.* Responsible for calling insurance or use Internet portals to obtain and document:* Insurance eligibility and benefits* Financial responsibility* Authorization pre cert’s as required* Contacting Medical Groups/IPA’S as needed* Ensure all insurance plans are properly selected in all registration and scheduling information systems.* Ensures patient’s right to privacy, safety and confidentiality are maintained in accordance with HIPAA regulations.* Maintains a safe environment in accordance with compliance standards, policies and safety regulations. Ensures compliance with established infection control policies. Performs other related duties as assigned or requested.Minimum Education: High school or equivalentMinimum Experience: 1 yearMinimum Field of Expertise: Experience working in a clinical or hospital setting. Experience scheduling appointments and maintaining multiple calendars. Knowledge of medical terminology. Knowledge of HIPPA compliance and various insurance types.
