Accounting Assistant & Office Manager

Overview

Pfaffinger Foundation was founded in 1936 to assist employees and retirees of the Los Angeles Times and former Times Mirror newspapers. The Foundation makes small grants to these individuals and provides case management services. The Foundation also makes community grants to agencies that help older adults and low-income working families achieve self-sufficiency and improve their quality of life. Position Summary

The position requires close work with the CFO and will be responsible for preparing financial reports, performing account reconciliations, maintaining the general ledger including intercompany transactions, assisting with audit preparations, and performing other accounting duties assigned. In addition to accounting work, the candidate will work with the Program Director to compile and prepare program data as well as assist in any program-related queries. The position requires varied and complex administrative functions, including general administrative support to the CEO and responsibility for general office operations and equipment. The ideal candidate will have interest in the Foundation’s mission and the operational side of grantmaking.

Responsibilities

  1. Prepares internal financial and program reports by gathering and analyzing information in QuickBooks and Blackbaud Grantmaking software
  2. Utilize Blackbaud Grantmaking to export payments and import data into QuickBooks via macros and upload files.
  3. Responsible for month-end processing, including preparing journal entries, reconciliations, and variance analysis: A/R A/P prepaid, depreciation, allowance for bad debt, etc.
  4. Process monthly and weekly assistance payments for clients and business-related expenses
  5. Generate reports for management on program and financial data
  6. Provide administrative support services for the CFO, Program Director & CEO
  7. Assist in the calendaring of board meetings, compilation of meeting materials and ensuring completeness and professional presentation of materials according to established standards
  8. Oversee general office operations, equipment and maintain adequate office supplies
  9. Serve as in-office tech support
  10. Assist management team with a variety of routine and special projects, mailings, etc.
  11. Process online community grant applications semi-annually and prepare multiple reports for CEO
  12. Perform special projects that may require researching, gathering, and organizing information from a variety of sources
  13. Organize work, set priorities, and ensure deadlines are met
  14. Serve as a backup to the Administrative Assistant to process new applications, copy and distribute Case Committee materials and enter Case Committee decisions
  15. Recommend improvements in workflow procedures and use of forms to maximize efficiencies and reduce administrative redundancies. Create and revise internal forms as required and approved.

Qualifications

  1. A Bachelor’s Degree in accounting or related field is preferred.
  2. Minimum of four years direct experience in a similar position with accounting and administrative responsibilities is required. Will consider more years’ experience in exchange for Bachelor’s degree.
  3. General accounting principles and accounting skills, including general ledger entries;
  4. Expert working knowledge of QuickBooks Desktop, MS Office including Excel, Word and PowerPoint required;
  5. Proficiency with Adobe DC, including edits and document manipulation;
  6. Correct English usage, grammar, punctuation, spelling and principles of business letter writing and basic report preparation;
  7. Experience working with Blackbaud Grantmaking is preferred but not required – will be expected to become a proficient user;
  8. Experience with Bill.com preferred but not required

Working Conditions

Occasionally lift and carry materials up to 20 pounds. Duties may require maintaining a physical condition necessary for sitting, kneeling, crouching, standing, walking, twisting, reaching or bending for prolonged periods of time. Remote working during the higher level of Pandemic threats. Currently transitioning from working remotely to in-office working.
