SummaryThe VA Greater Los Angeles Healthcare System (GLA) is currently recruiting for one (1) File Supervisor to work in Health Administration Services Los Angeles, CA.

The incumbent serves as full-time Supervisor of the File Room Unit, this unit includes the paper file room, document imaging and importing, record retirement and archive duties.ResponsibilitiesDuties include but are limited to: Provide administrative and technical supervision/direction of the service.

Recruits and hires subordinate staff members in line with merit staffing procedures and equal employment opportunity guidelines.

Assign work to staff and provides technical and policy direction to their efforts.

Review completed work of the staff and provides feedback to encourage top performance to enhance an atmosphere of team work in the office.

Plan training and development with subordinate employees to assure they acquire and maintain both technical competencies in their fields and cross training in related fields.

Evaluate the work performance of subordinate staff members and recommends appropriate awards to enhance effective performance or takes action to deal within adequate performance, through counseling, training, coaching and other means.

Resolve staff complaints concerning working conditions and related matters, and provides referral services, if necessary, to employees who develop personal problems that interfere with effective performance or undermine work group cohesiveness.

Integrate activities of the office into the overall programs and takes actions, as necessary, to make the office a positive contributor to accomplishment of the VA’s mission.

Conduct administrative support functions at the Greater Los Angeles VA Health Care System Medical Records Committee meetings to include, writing the meeting minutes, sending our meeting reminders, and action items.

Run the medical record timeliness and delinquency rep01is.

Prepares the reports with a cover letter for distribution to Service Chiefs and medical records committee Chair at the direction of the Assistant Manager and Manager, HIM.

Communicate with clinicians and providers, Service Chiefs through HAS Leadership on medical records issues.

Provides on-going medical records policy and technical training to services outside HAS.

Participate in lean ( quality) initiative.

Uses lean principles and analytic tools for process
· improvement within HAS.

Analyze patient documents against regulatory requirements to ensure documents meet legal requirements and are adequate for filing to CPRS.

Takes appropriate actions if medical record contents are not adequate, accurate, timely, and/or reliable.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement.

For a GS-07 position you must have served 52 weeks at the GS-06.

The grade may have been in any occupation, but must have been held in the Federal service.

An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials.

If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement.

In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience and/or education as described below: Specialized Experience: In addition to meeting the time in grade, you must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization.

You will receive credit for all qualifying experience, including volunteer experience.

Note: A full year of work is considered to be 35-40 hours of work per week.

Part-time experience will be credited on the basis of time actually spent in appropriate activities.

Physical Requirements: The work requires physical exertion such as prolonged periods of standing, bending, reaching, and lifting moderately heavy items such as record boxes.

This credited service can be used in determining the rate at which they earn annual leave.

Such credit must be requested and approved prior to the appointment date and is not guaranteed.
