The purpose of an AP Coordinator is to assist clients with processing payments to
vendors and to ensure their accounts stay reconciled and up to date. The AP
Coordinator works closely with the AP Clerks to guarantee we have all invoices and
relevant documentation from vendors. They also work with the Accounting
Managers, as having clean, up to date AP assists the Accounting team in supplying
clients with accurate budget forecasting and additional bookkeeping services. To be
successful in this role, the AP Coordinator should have strong organizational skills,
be extremely detail oriented and be effective at communicating with both clients
and vendors. Having sensitivity when communicating with clients and discussing
their accounts is very important.

KitchenSync’s AP Coordinators are the processing and quality control specialists
responsible for ensuring timely and accurate accounts payable management. They
work directly with clients, the bookkeeping department, and our data processing
team. Our AP Coordinators work across several databases, auditing and updating
vendor records, responding to records requests, processing payments, and
resolving invoice and payment issues of behalf of clients.

Job Responsibilities:
-Respond to client inquiries regarding their vendor accounts
-Respond to vendor inquiries regarding outstanding payments and
reconciliations
-Process vendor payments on behalf of clients
-Assist internal bookkeeping team with reconciliation questions
-Train (and retrain) clients on the AP process and associated systems
-Track client cash flow

Knowledge and Experience Requirements:

  • Familiarity with the restaurant operations and financial management
  • Basic understanding of accounting principles
  • Proficient technological and math skills
  • Ability to work quickly and prioritize numerous requests
  • Strong and confident communicator
  • Excellent organizational skills
