Job Opening: Attendance Clerk/Office Assistant
Reports To: Dean of Operations
Status: Non-Exempt, Full Time
Location: Stella Middle Charter Academy, Los Angeles, CA
Bright Star Schools is a non-profit charter management organization that currently operates seven high-performing charter schools in the Los Angeles neighborhoods of West Adams, Koreatown, Westchester, and Panorama City. This position will be based out of Stella Middle Charter Academy in Los Angeles, California.
Attendance Coordinator Duties (may include, but not limited to the following):
- Ensure student attendance is taken by Faculty for all periods within the first 10 minutes of class
- Follow up with Faculty who do not submit attendance in a timely manner
- Call parents or guardians to verify and provide proof of student absences
- Record and reconcile student absences in student information system
- Review, enter, and file all attendance notes submitted to the office
- Generate weekly/monthly attendance reports
- Maintain master student attendance binder
- Lead implementation SART & SARB protocols; schedule and facilitate attendance interventions
- Update Dean’s List with attendance information
- Effectively communicate with Students, Parents, Teachers, Counselors, Dean’s team, Office Staff to improve school-wide and individual student attendance
- Proactively find solutions to cases of extended absences for a student
- Advise the school on strategies to promote the regular and punctual attendance of all students and assist with the implementation of the strategies
- Collaborate with Counselors and other school staff to support student attendance and serve as a resource regarding attendance programs, interpretation of policies/laws, and record-keeping requirements.
- Establish and develop a professional service to support the school in raising attendance, investigating persistent absences, and improving punctuality
- Conduct home visits as needed to support student attendance
Performance responsibilities include but are not limited to:
- Greeting and signing in all visitors and controlling access to the school
- Answering phone calls, directing calls, taking messages, placing outgoing calls, and making public address announcements
- Collecting and maintaining forms and other records, securing missing forms, and ensuring the confidentiality of all student records
- Entering student enrollment data and updating all student records, including student registration and attendance, using the school’s student management software
- Assist substitute coordinator by escorting subs into their respective classrooms
- Ensuring that students leave only with authorized parents or guardians
- Receiving and distributing incoming mail and deliveries, and preparing outgoing mail and deliveries
- Ensuring that the school’s physical environment is at all times neat and orderly, including but not limited to the reception/administrative area, waiting area, copier room, supplies closet, records room, and teacher center
- Assisting Dean of Operations with planning and preparing for school events and activities
- Coordinates lunch/dinner orders for staff meetings/evening commitments
- Set-up/clean-up for small meetings, events, and sign-in areas
- Manages all students that come to the office who need medical attention and use the office bathrooms
- Processing applications for admission
- Performing all duties designated by the Dean of Operations for the school’s successful functioning, including hallway supervision, arrival/dismissal, and meals.
- Supports all enrollment functions
- Translate as need in oral, written form
- Performs mass school copies
- Attending all professional development sessions, as appropriate
- Any other duties as assigned by Dean of Operations
Qualifications
Qualifications/Requirements:
- Excellent phone etiquette
- Bilingual (Spanish/English) preferred
- Excellent verbal communication skills
- Good attendance and punctuality
- Outstanding attention to detail and willingness to get the job done
- Able to work in a fast paced environment and meet deadlines with minimum supervision
- Customer-service orientation in working with students, families, and staff
- Knowledge of MS Office (Word, Excel, Outlook, Access)
- Able to multitask

- Must be available M-F during school hours
Salary/Benefits:
Hourly Rate: $19/hour, depends on experience
