Title of position: Logistics and EDI Associate

Position type: Hourly, Non-Exempt. Part-time while training, full-time by end of 2022

Location: Orange County or San Diego. Remote work possible.

About this role: Successful Toy Company with multiple entities is recruiting an energetic and enthusiastic customer-oriented Logistics Associate with EDI knowledge preferably with SPS Commerce, or similar 3rd party EDI provider. Description of responsibilities:

  • Under general supervision, perform administrative tasks in the processing of customers’ orders and works closely with Sales Department and two 3PL warehouses to ensure domestic orders ship on time;
  • Work closely with Hong Kong team for import orders to ensure all orders are shipped directly from factories to the customers forwarders in China;
  • Monitor incoming containers through the Port of Los Angeles and work with the Sales Department to allocate to customers;
  • Prepare and complete all shipping documents, route shipments, and send accurate Advance Ship Notices (ASN’s) and Invoices to our domestic Electronic Data Interchange (EDI) customers;
  • Track and report work order status for accuracy;
  • Ensure orders ship on time without chargebacks and/or expense off-sets;
  • Conduct a regular review of vendor manuals and implementation of any updated or new customer requirements into the order managing process;
  • Processing of Return Merchandise Authorization (RMA) and credits as well as assisting customers with billing, shipping, and product;
  • Responsible for processing all purchase orders and analyzing for discrepancies, variances, or errors;
  • Communicate product delays, product changes, and shortages to the Sales Department and Sales Representatives and/or customers;
  • Research and resolve chargebacks and implement SOPs to prevent future occurrences;
  • Process orders by utilizing vendor portals (e.g., Wal-Mart, Target, and other large customers);
  • Organize and track orders for smaller customers;
  • Use EDI through third party vendors (e.g., SPS Commerce and our 3PL Warehouse);
  • Responsible for order entry, item set-up, and various other requests pertaining to each order;
  • Provide concise and professional communications with inside teams and outside contractors;
  • Work closely with our Sales Department team on future orders and monitoring inventory levels;
  • Prepare and complete accurate ASN’s and Invoices for our EDI Import customers; and
  • Submit payment documents directly to their Accounts Payable department for payment to our non-EDI Customers.

Qualifications:

  • Basic reading, writing, and math skills typically associated with a high school diploma or equivalent is required;
  • Bachelor’s degree in Supply Chain Management or related field is preferred;
  • Minimum of two (2) years of account management and/or supply chain experience is required;
  • Minimum of two (2) years of customer service experience with EDI is required;
  • Experience with shipping to large customers (e.g., Walmart and Target) and small customers;
  • Experience working with major retailers (e.g., Walmart, Target, and Amazon) is preferred;
  • Ability to read and interpret documents including processes, procedures, and vendor manuals;
  • Knowledge of warehouse flow and inventory reconciliation practices;
  • Knowledge of the Production/Wholesale business;
  • Excellent written and oral communication skills;
  • Strong organizational, time-management, and problem-solving skills and ability to meet tight deadlines;
  • Ability to work independently and within a team environment;
  • Detail oriented;
  • Ability to multi-task;
  • Be a team player;
  • Proficient in Apple Mac, MS Office, including Word, Excel, Outlook, Intuit QuickBooks Online.
  • Working knowledge of all standard office equipment;
  • Experience with Enterprise Resource Planning systems (ERP AMT); and
  • Experience with EDI, Vendor Portals, and retrieving data on web-portals and various vendor sites.
