Responsibilities: The sponsor is seeking an experienced and motivated individual to perform in the role of Program Planner.
In this customer facing, team-oriented position, the candidate will support the customer’s Front Office and the responsibilities will include a wide range of duties involving scheduling of time, scheduling/coordinating of materials, coordination of internal and external customers/stakeholders, monitoring of job progress, analysis of changes, and problem solving.
As a critical member of the Front Office, this individual will provide direct support to the Director, two Deputy Directors, and Chief of Staff.
Responsibilities include, but are not limited to the following:Manage access to Sponsor Front Office Senior Managers (three SIS Officers & one GS-15) information and schedules, utilizing discretion to protect sensitive and/or confidential information.Provide primary schedule support and calendar management to the Front Office Senior Managers, to include the workflow of continuously changing primacies against pre-established hierarchy, and able to prioritize and de-conflict schedules appropriately with little or no guidance.Ability to demonstrate a high level of customer service in anticipating and responding to the needs of the assigned Front Office Senior Managers and other Sponsor Senior Leadership Team.Coordination of Front Office representation at VIP visits and other briefings, meetings, conferences, and events; maintain the library of briefing packages-including updates, as required.
This may require coordination of travel.Provide suggestions on established processes to improve efficiencies, and monitor the implementation and adherence to said processes.Maintain the records management systems and provide recommendations for improvements.Provide Sponsor Front Office Senior Leadership team meeting support as needed/requested, including attendance.Assist with assembling briefing packages, consolidating reference material, and/or other material required for meetings, events, briefings etc.
As required, draft high-level summaries of meetings or actions to be taken for Front Office Senior Manager use after said meetings/etc.Review incoming requests, flag important tasks for action, and keep Front Office staff aware of highly sensitive requests.Scan and filter items of interest that should be brought to the attention of Front Office Senior Management, to include preparing documentation to those items requiring response.Summarize lengthy correspondence, highlighting key issues, topics and provide follow-ups to ensure proper and timely action is taken.Tracking and monitoring on-going special Front Office projects and initiatives.Monitor phones, screen calls, and “vet” unexpected interruptions to make the best use of the supported Senior Managers’ time.Work performed under minimal supervision, with latitude to exercise judgment to complete tasks.Work seamlessly with contractors of other organizations as well as government employees at all levels.
Qualifications: Bachelor’s degree with 10-12 years’ related experience.Active TS/SCI with polyDemonstrated critical thinking skills-ability to address issues, but also to escalate those things requiring management attention.Demonstrated can-do attitude and proactive approach.Excellent communication and writing skills to compose correspondence on behalf of senior executives.Strong interpersonal, networking, and critical thinking skills (analysis, judgment, information seeking).Ability to synthesize large amounts of information from various resources.Domain experience and knowledge of customer’s processes, procedures, and network systems and associated applications.Proficient with MS Office suite of products.Demonstrated ability to multi-task and work independently, self-starter.
