Opportunity to join one of the most dynamic teams in the business Support effort behind the increased trade and consumer awareness Collaboration with sales and marketing organization in market Role Responsibilities Region of Role: US Commercial West (based in Los Angeles, California ) This role is responsible for providing administrative support to the General Manager, the region, and its offices. In addition to supporting the region, this role is responsible new hire onboarding administration, time off administration, general user training for the company intranet (Stir), Connect, Concur, region announcements, and liaise with various cross-functional partners to ensure compliance. Duties and responsibilities include but are not limited to: Administrative support to the General Manager, such as but not limited to calendar management, travel management, expense reconciliation, meeting preparation and coordination, announcements preparation Point person in onboarding each Region new hire, including ordering of phone, I9 employment verification, training them on our systems, and overall ensuring they have all the tools and resources needed Manage the day-to-day operations of all regional offices, such as but not limited to ensuring all employees have necessary security cards, office equipment leases, office supplies, interaction with building owners/maintenance, mail routing Adeptly handle schedules, including meetings and conference call coordination; coordinate and accurately maintain calendars, updating continually to ensure that all meetings, calls, and commitments are current. Adeptly plan and handle all logistics for on/offsite Department meetings and market visits as required, including securing transportation, hotel reservations, meeting space, food and beverage, and AV needs. Travel to offsite meetings as requested. Assist with completion of presentations for recurring monthly meetings, as well as ad hoc Develop and maintain strong relationships with other administrative support team members and key cross functional partners, addressing issues in a fast-paced environment Key point person to provide navigation training for Stir, Connect, and various general system mentorship as required Update and maintain mailing lists, PTO records, and some HR records Update and maintain team page on STIR site Assist with arranging inbound distillery visits as required Assist broader team with administrative duties as requested Qualifications & Experience Education/Experience Any Bachelor’s degree is preferred 4+ years of administrative experience 4+ years of working in an office environment Prior experience supporting a sales and marketing team is preferred Knowledge, Skills, & Abilities Possess utmost discretion when working with confidential and sensitive information Advanced knowledge of MS Office Possess office professional written and verbal communication skills Possess strong interpersonal skills Ability to work independent and collaboratively as a team, with and without supervision Proactive, take initiative, self-motivated, resourceful, and possess sound judgment Ability to prioritize and manage multiple projects, assignments, and deadlines Highly detail oriented and organized Must be able to adapt and be flexible in a fast-paced environment Physical Requirements Ability to sit for prolonged period(s) of time and view computer screen Ability to travel 25% of time This is a hybrid role; 60% office and 40% remote Must possess a valid license to operate motor vehicles Must be able to lift, push, pull at least 25 lbs.
