SLH Supply Coordinator

SUMMARY: The SLH Supply Coordinator is responsible to manage all specialized assigned inventories including vendor consignment.

The Supply Coordinator will ensure that all procurement transaction comply with policy and procedure of the medical center.

The Supply Coordinator will be responsible for replenishing, and processing routine and special supply request for assigned areas.

Process all patient specific requests to ensure productavailability.

Assist System Administrator as needed with system maintenance for MMIS.

Support data management and process improvement for patient supply process to ensure accurate information about product, product cost, manufacturer number etc.

Performs related duties as required.DUTIES & ESSENTIAL JOB FUNCTIONS: NOTE: The following are the duties performed by employees in this classification.

•Coordinates and executes the ordering of supplies and equipment for the specialized areas utilizing MMIS System; ensures supplies and equipment are received and stocked in timely manner; ensures cases are not delayed or canceled due to lack of equipment or supplies.
•Serves as the materials’ liaison between specialized area staff and Materials Management.
•Equipment delivery; coordinates loaner and introduction of demonstration equipment.Arranges for loaner equipment/instrumentation as needed.
•Assists in research for the Value Analysis Team (VAT) to promote acquisition of materials at the lowest cost to the hospital considering quality, service, and required delivery.

Monitors and controls vendor access to specialized areas ensuring compliance with AHS policy.
•Makes recommendation for par levels and adjustments in assigned departments; reviews inventory items semi-annually to determine usage patterns and PAR levels; assists management to prepare for and coordinate physical inventories.
•Partners with Purchasing to track open PO’s and expedites as required; follows up on delinquent orders when necessary controls and maintains accurate inventory of all supplies, equipment and consigned items; assist in analyzing supply expenses and generated necessary report for Materials Management.
•Works with Materials Management and specialized service areas to develop and implement effective ongoing cost management strategies.
•Identifies opportunities to enhance patient care in a cost-effective manner through contract compliance, new technology and standardization; meets with vendors and manufacturers representative to ensue vendor relationship compliance.
•Maintains open and effective communication with clinicians and SPECIALIZED AREA staff to provide high quality cost-effective supplies and equipment when and where needed.
•Participates with Materials Management in problem-solving, and implementation of management change and transition to provide high quality, cost-effective supplies and equipment; provides additional support, coverage and expertise as necessary to the Materials Management department.
•Generates routine reports as requested by Materials Management; maintains files, records and pertinent information in an organized effective manner.
•Participates in LEAN Process Improvement projects.
•Communicates with Specialized Service areas regarding patient procedure schedules, preference cards and instrument tray changes on an ongoing basis; in conjunction with Materials Management; collaborates with Bioengineering to maintain computerized database inventory system for equipment.MINIMUM QUALIFICATIONS: Education: High School Diploma.

Minimum Experience: Three years supply chain experience within a healthcare setting.
