Executive Assistant to the CEO

Position & Purpose SummaryThe Executive Assistant role supports AVIA’s CEO administratively with poise and a strong presence.This position is an excellent opportunity for a hard-working team-player, who is a proactive problem solver, is detail-oriented and looking to provide top-level support to busy executives and leading healthcare clients in a fast-paced environment.Strong organizational skills, a high level of professionalism and confidentiality, excellent written and verbal communication skills, ability to anticipate needs, work independently and prioritize workload are required.Your Zone of Genius will be Acting as the supporting force for our CEO, keeping their day-to-day activities running smoothly and ensuring priorities are met while upholding AVIA’s best practices.

To act as an internal and external point of contact.

Schedule, coordinate, and execute internal and external meetings including prep meetings, reminders, agendas, tracking action items and deliverables, note taking, catering, etc.

Create/draft internal team communications as needed on behalf of the executive/s Travel management including booking transportation, hotels, restaurant reservations, etc.

Processing expense reports Project time tracking Exercises confidentiality and discretion when interfacing with clients and coworkers Other administrative and support as needed, such as organizing and maintaining drives/filling systems, inputting and maintaining contact information, etc.

Event planning assistance, coordination, and execution including venue research, scheduling, set up, webinar/ video conferencing, catering, internal communications, etc.
