Main Purpose of the Role To welcome all guests to our offices, address their needs professionally, and ensure that the environment and all technology is properly working. Behavioral Expectations Veritext Employees are expected to exhibit the following behaviors in the performance of their role: · Work collaboratively with Veritext colleagues, exhibiting Veritext Values · Ensure that all client (internal and external) communications are handled in a professional, timely and courteous manner · Communicate necessary information timely, accurately and effectively; report incidents to management · Welcome new projects and ideas; continuously work to enhance job knowledge while bringing value to role · Take ownership of your work; follow-thru until final resolution General Responsibilities · Understand Company targets and strive to meet and exceed · Understand Veritext products and services and their value · Resolves issues and escalate as needed to ensure prompt and accurate resolution · Recommend and implement improvements in process and procedures · Participate and absorb all trainings including Veritext University, Summer Camp, in-person development sessions, etc. · Fully understand your role and how it relates to other departments Key Responsibilities · Ensure conference room technology has been set up, pre-tested and is working at least 2 hours prior to depo; adhere to technology protocols for each and every room · Greet and welcome all visitors in a pleasant, welcoming demeanor and respect; ensure front desk coverage · Enforce Veritext security and health policies for all visitors · Act as primary point of contact for all guests; actively help with all logistics and requests; build rapport with clients/partners/visitors · Treat independent contractors as “key members of our team”; go out of your way for them and ensure they are set up for success · Be knowledgeable and educate clients and ICs on Veritext product and services, and encourage their use (promote the value and “sell”) · Proactively assist clients with all deposition-related technology, including facilitating myVeritext, Veritext Virtual and Exhibit Share access; provide troubleshooting of products and services and/or know where to direct the inquiry/escalation · Set-up “loaner” equipment for guests and ensure the return of such (including all cables, mice, etc); adhere to “loaner” protocols · Maintain a professional appearance of all conference rooms and client-facing areas. (e.g., ensure supplies are refilled and stocked; areas are clean and welcoming; chairs and tables are arranged properly) · Be part of the phone queues and/or work the reception phone effectively · Track office supplies and reorder when necessary · Use Vision to manage conference room usage on a daily/weekly/monthly basis · Contribute to ongoing operations during “downtime” on work directed by your manager: o Entry of Snap Scheduling o Deposition notice entry o Office mail o Deduping the Vision database – clients, vendors, addresses, etc. o Researching and correcting email bounce-backs o Client Profile updates o Late transcript/vendor invoice o Obtaining missing witness email addresses for ES and Remote jobs o Follow up on missing notices o Follow up on missing billing information (e.g., claim numbers) · Assume responsibility for participating in and completing ad hoc projects Skills and Competencies · Comfortable using technology; assisting others with their IT and Veritext’s tech-based services · Must have a pleasant demeanor and service with a smile mentality and maintain composure under pressure · Must possess excellent written and verbal communication skills · Client service oriented with strong interpersonal skills · Dedicated professional with the ability to respond to requests promptly and accurately · Must be detail oriented, organized and be able to multi-task · Proactive and motivated with strong problem solving and follow up skills · Must be able to work both independently and as part of a team Required High School diploma or equivalent Minimum of 2 years relevant experience Preferred Prior knowledge of/experience working in the Legal industry or a client servicing role Veritext offers competitive compensation and an exciting benefits package including medical, dental, vision, 401K with company match, generous paid time off, company paid short & long term disability, life insurance, and more.
