– Tukwila, WA Job Description Qualifications: The Boeing Company has an exciting opportunity for an Executive Office Administrator to join our team!The selected candidate will support the Cabin Interiors Vice President, Executive Leadership team and other leaders including partnership with Boeing EnCore Interiors (BEI) and Adient Aerospace, Joint Venture teammates and Board of Directors for Adient Aerospace.

Position Responsibilities:

  • Coordinates and processes domestic and international business travel arrangements, monitors designated business traveler’s logistics, generates expense reports and assists in reconciling corporate credit card charges to ensure timely and accurate reimbursement and verifies payments to corporate credit cards.
  • Collects and compiles data to provide visibility of status for traveler’s review and/or signature
  • Coordinates and monitors specific business travel logistics in accordance with domestic and international COVID requirements for both The Boeing Company and individual state/countries of travel
  • Maintains up to date passport / visa status as required for international travel for executive leadership team
  • Manages and coordinates executive calendars and schedules meetings

  • Plans and coordinates events to include room logistics, meeting invites, and catering
  • Collaborates and maintains a strong working partnership with Boeing EnCore Interiors (BEI) and Adient Aerospace Joint Venture leaders and administrative support teams to ensure streamline cross collaboration
  • Creates, edits and maintains electronic and written communication such as memos, reports, presentations, flow charts and organization charts utilizing Microsoft Word, PowerPoint, Excel, Outlook, and SharePoint
  • Stays current on cost policy (allowable versus unallowable charges), travel policy, and catering menus
  • Tracks and maintains information relative to department and business operations
  • Communicates a wide variety of information to multiple audiences
  • Processes incoming and outgoing communication and correspondence to ensure proper dissemination of information
  • Prioritizes and schedules management-level employee time and availability for efficient use of time
  • Tracks and maintains designated conference room schedules for availability and efficient use of resources
  • Coordinates with the appropriate focal(s) to support the acquisition and maintenance of resources
  • Orders and maintains office supplies
  • Plans and implements logistics for executive level internal and external events
  • Sets up and facilitates WebEx’s and teleconferences
  • Tracks and maintains information relative to department and business operations
  • Collects and compiles data such as training completions, business expenses, action items and other matters requiring follow-up and provides visibility of status with management direction
  • Teams with other office administrators to complete work and plans / organizes team-building activities
  • Analyzes and initiates continuous improvements of administrative processes and procedures
  • Provides guidance for less experienced employees
  • Works under limited supervision
  • Provides other Administrative requests
  • Supports shift differentials in multiple global time zones

Basic Qualifications (Required Skills/Experience):

  • 3+ years of experience providing office administrator support to a senior or higher level manager
  • 3+ years of experience making domestic and/or international travel arrangements and generating expense reports
  • 3+ years of experience supporting calendars, travel and meetings for higher level management
  • 3+ years of experience composing and editing documents in Microsoft Word, Excel, Outlook, and PowerPoint

Preferred Qualifications (Desired Skills/Experience):

  • Experience with data analytics
  • Experience converting data into a presentation
  • 3+ years of experience in a role which required strong interpersonal and communication skills

Typical Education & Experience: Education/experience typically acquired through basic education (e.g.

High School diploma/GED) and typically 7 or more years’ related work experience or an equivalent combination of education and experience (e.g.

vocational school/Associate+5 years’ related work, Bachelor+2 years’ related work, etc.) Relocation: Relocation assistance is not a negotiable benefit for this position.
